TITLE: Data Entry Clerk I - Plainfield Campus

REPORTS TO: Director of Financial Aid
TERMS OF EMPLOYMENT: Monday-Friday; 11:30am-7:30pm; Plainfield Campus
GENERAL DESCRIPTION: The primary responsibility of the clerical staff in the Financial Aid Office is to provide customer service to students, families, other College departments and the community via in-person, phone, email, AIM, and written communication regarding various financial aid programs as well as application procedures and related paperwork. This position also provides administrative support for one or more financial aid programs. This position performs clerical work in support of the office’s functions and may perform a full range of clerical work in support or assigned projects and programs. The Data Entry Clerk I position reports to the Director of Financial Aid or designee.
TYPICAL RESPONSIBILITIES:
1. Assists students and families with understanding and navigating the entire financial aid process as well as how to apply for different types of financial aid and complete related forms.
2. Interpret and explain Federal, State, and institutional financial aid and student services policies and procedures to students, families, as well as constituents within the College and the community.
3. Receives, reviews, and responds to phone calls, emails, and AIM inquiries.
4. Receives reviews financial aid forms and supporting documents for accuracy and completeness and tracks these documents in College’s computer system.
5. Analyzes and determines students’ financial aid statuses and advises students of missing or incomplete documentation.
6. Enters and verifies accuracy of data in various computer systems including but not limited to Federal, State, and the College’s computer systems.
7. Serves as departmental support and is responsible for assisting in the coordination of one or more financial aid programs as required.
8. Coordinates the flow of student traffic within the office.
9. Upholds Federal, State, and Institutional policies regarding financial aid, privacy, and others.
10. Prepare and maintains student files.
11. May assist with workshop presentations and representing the College at Financial Aid Workshops, etc.
12. Perform routine financial aid office duties including but not limited to data entry, filing, mailings, etc.
13. Monitors the Financial Aid space in the College’s warehouse and prepares documents for storage.
14. Monitors general office supply status as well as updates Financial Aid bulleting boards around campus.
15. Performs other duties as assigned.
QUALIFICATIONS:
1. Education
· High School graduation required
· Current working knowledge of Microsoft Office (Word, Excel and Outlook) and Internet Explorer is required
2. Experience
· Minimum of one (1) year of experience in the operation of an on-line computer system, preferably in an interactive environment
3. Knowledge, Skills and Abilities
· Operation and current working knowledge of modern office equipment and procedures, including ability to use computers for word processing, reporting, record keeping and other office and clerical tasks. Ability to analyze and summarize report data
· Typing skill within a range of 40 to 60 WPM is expected
· Must comprehend, interpret and follow financial aid rules, policies and procedures.
· Must be able to add, subtract, divide and multiply quickly and accurately
· Strong interpersonal and communication skills. Must have ability to deal tactfully with students, staff, faculty and the general public
· Must be able to plan and organize work and meet deadlines in a demanding environment
· Ability to multi-task a necessity
· Knowledge of operation of computer system and ability to use with high degree of accuracy in work is required.
· Must develop and consistently maintain a knowledge base (read, learn, interpret, articulate) of financial aid programs as well as departmental and College policies and procedures.
· English usage, spelling, grammar and punctuation. Must read, write, speak and understand English.
· Must be able to understand and carry out written and oral instructions.
· Ability to manage complex, detailed, confidential tasks in a professional, ethical and timely fashion manner. Must be discreet and treat all matter as confidential.
· Ability to work a flexible schedule. Mandatory overtime during peak registration periods and throughout the year to meet the needs of a challenging office environment.
